ISS attendance, step by step.

Four taps, one group

Today is the front door. The board has four columns, Still expected, In the building, In the community, and Checked out, with one 44px name tile per person. Expected tiles group by the van that brings them, so one tap picks a whole placing agency. The door view turns the tablet by the entrance into big tap-to-arrive tiles. Check-in always opens an on-site block, because people walk into the building; trips take them out.

The trip writes the ratio

Trip out is one sheet: who leads, who goes, where. Several staff can go, and one of them writes the note. The staff and group counts are written onto every member of the trip as the ratio the group ran, so the off-site line on each Form 8615 is filled for you. The state ratio for each level of need is shown as a guide, and a program that wants a hard stop can turn on a switch that refuses a trip when staff are under it. A planned outing on the activity calendar pre-fills the trip, reminds the floor when it is about to leave, and flags a trip still out past its planned end. On the phone, the trip’s staff can open a safety card for each person while the group is out (allergies, diet, support notes, emergency contacts, the placing agency’s nurse and case manager), and every view is logged.

Fix the day, keep the history

Fixing a day keeps the history. Live taps are stamped by the server, never typed. One person leaving before closing time is asked for a reason; a whole-group checkout never is. Someone who never checked out is an hourly alert to managers and a hold on that agency’s bill until it is fixed. A time correction must say why and goes to a history that cannot be edited or deleted. The master census shows everyone enrolled with day marks and standing marks (off, school, sick, hospital, vacation, appointment), “not coming today” covers one person or a whole van, and a recorded time always beats a mark. On-site and off-site hours are totaled separately on the daily sheet, the weekly attendance packet per placing agency, and the monthly sign-in sheet.
